1.2 Identity Verification (Vendors Only)

To preserve platform integrity, discourage fraudulent vendor activities, and ensure transactional security, vendor onboarding requires mandatory identity authentication. We securely collect:

  • Government-Issued Identification: Valid Ghana Cards, passports, or national driver's licenses.
  • Corporate Documentation: Official business registration certificates, Tax Identification Numbers (TIN), or corporate certificates of incorporation where applicable.
  • Verification Media: Live photographic captures (selfies) or brief video frames utilized exclusively to verify physical identity matches against provided documentation.

1.3 Financial Information

We gather necessary fiscal processing data required to settle consumer invoices and route scheduled vendor disbursements:

  • Transaction History: Detailed records of items purchased, order values, processing times, and selected checkout methods.
  • Disbursement Anchors: Mobile Money (MoMo) numbers, registered carrier network assignments, and commercial bank account numbers accompanied by specific branch codes.
Strict Security Notice: Ownify never requests, views, or archives your Mobile Money PINs, CVV codes, or private bank authentication passwords. All transaction gateways are securely managed by licensed, PCI-DSS compliant third-party financial clearing partners.

02 How We Use Your Information

Ownify processes user information under defined lawful bases, including contractual performance, compliance with statutory state laws, and our legitimate operational business needs. Your data is used for:

  • Account Management: Establishing, keeping active, and personalizing individual user accounts and multi-vendor display storefronts.
  • Order & Fulfillment Architecture: Handling incoming consumer checkouts, updating cart states, coordinating physical courier routing, and facilitating necessary returns or chargeback resolutions.
  • Financial Remittance: Engineering smooth, automated vendor wallet payouts via mobile money or institutional banking infrastructures.
  • Identity Verification & Safety: Continually monitoring vendor submissions to prevent online marketplace scams, identity theft, and counterfeit sales profiles.
  • Platform Optimization: Resolving application performance logs, compiling user journey metrics, running technical debug scripts, and building out new interface utilities.
  • Regulatory Compliance: Adhering to statutory mandates under the Ghana Data Protection Act, 2012 (Act 843), tax remittance filings, and coordinating with official law enforcement instances if presented with legal warrants.

Ownify values your digital privacy. We do not sell, rent, lease, or trade your personal data to external marketing companies. Data transfers are strictly executed under explicit contractual data protection boundaries within the following scenarios:

  • Buyer-to-Vendor Exchanges: Disclosing necessary delivery details, fulfillment instructions, and contact phone numbers to independent vendors so they may prepare and ship purchased goods.
  • Integrated Service Integration: Sharing targeted payment information with licensed fintech aggregates (e.g., Paystack, Flutterwave, or partner telecom networks) alongside certified third-party background identity providers.
  • Legal Mandates: Divulging user profiles when under explicit court directives, regulatory enforcement parameters, or when vital to prevent imminent financial loss or security breaches.
Security Measure: We maintain strict technical barriers including Secure Socket Layer (SSL/TLS) data transmission protocols, server-side data partitioning, and highly restricted internal access logs ensuring only certified Ownify personnel handle core database fields.

04 Your Rights & Retention

We preserve personal information only for the timeline required to manage active marketplace activities or satisfy institutional record-retention statutes (such as keeping financial deal registries for up to 7 years to satisfy revenue audits).

Depending on your jurisdiction and in total alignment with the Ghana Data Protection Act, you possess clear digital freedoms regarding your database footprint:

  • Access & Portability: The right to request comprehensive summaries of the personal information records we maintain about you.
